Description

We are looking for an experienced Payroll Specialist, to support our USA operations with full cycle payroll administration and compliance in a multi-State payroll environment. The ideal candidate is forward thinking, analytical, detail oriented and methodical with experience in payroll administration and deep knowledge of payroll regulations. Responsibilities will include the management of employee data, ensuring the accuracy of timesheets, computing wages, and timely and accurate payroll submission reports. The successful candidate will ensure payroll procedures are current, compliant, and efficient.

Accountabilities

  • Provide a high level of service and support to employees, HR and Finance

  • Assist employees with questions about their wages, taxes and/or deductions listed on their remuneration statements

  • Prepare employee records for payroll processing in payroll systems utilized (ADP, Deltek & Paycor)

  • Enter and verify all deduction amounts included on pay run

  • Process payrolls on a weekly basis

  • Process reports to analyze payroll data for integrity

  • Coordinate with Controller to ensure all required tax information is setup in payroll system

  • Download and book payroll related journal entries to ensure timely accounting

  • Assist employees with time sheet support

  • Become subject matter expert to troubleshoot problems/errors that impact the accuracy of the payroll output

  • Audit reports during payroll processing for benefits, including prepayments, refunds and any additional deductions for arrears

  • Process prepayments of benefits received by employees prior, during or after leaves of absence

  • Provide assistance to HR team with enrollment and other benefits activities

  • Complete W-2C’s as needed for federal and state agencies

  • Assist in the internal and external audit process by providing support and explanation for the information and data required

  • Stay informed on prevailing wage laws and regulations related to payroll

  • Assist with Canada payroll when required

  • Complete certified payroll reporting when required

  • Weekly General Ledger Reconciliation

Required Skills and Qualifications

Required Skills/Abilities

  • Strong excel skills (Pivot tables, dynamic arrays, tables VLOOKUP’s, etc.)

  • Experience with Paycor, ADP, Deltek and certified payroll reporting preferred

  • Experience with government contracts: prevailing wages, supplementary benefits, etc. preferred

  • General familiarity with accounting concepts and payroll accounting

  • Ability to self-manage with proven initiative and client focus

  • Strong problem-solving skills, and the ability to work with minimal supervision

  • Must be able to work in a dynamic work environment

  • Excellent time management skills with an attention to detail

  • Team player with excellent communication skills both written and verbal

  • A positive, “can-do” attitude


Education and Experience

  • 5 + years of multi-state payroll experience with California payroll experience preferred.
